Intranet Questions

Q1. How many people are employed by your organisation, including full time and part time?

1391 direct employees (945 full time and 446 part time).

Q2. What is your current intranet solution? (Sharepoint, Wordpress, Interact, Invotra, Oak etc)

Sharepoint.

Q3. How long have you been using this intranet solution?

3 years in its current version

Q4. When is your intranet contract up for renewal?

The software is purchased as a wider corporate system and allowed to also be utilised as an Intranet. IT staff created Intranet pages on the SharePoint platform.

Q5. What is your annual intranet budget?

It is part of wider Microsoft licensing agreement and the service area are unable to separate the costs to just the intranet budget, therefore we are unable to respond to this part of your request.

Q6. What is your procurement process? Please can you include any portals used to list tenders and/or any suppliers/consultants used to procure?

Hoople Ltd manage IT requirements on behalf of Herefordshire Council and they have access to the e-Tendering portal 'Procontract' should they decide to run tenders, otherwise, they may use existing frameworks through Eastern Shires Purchasing Organisation (ESPO) or Crown Commercial Services (CCS), this will depend on the solution they require.

Q7. Do you share intranet/IT services with other organisations, if so who?

IT Services are shared with Hoople Ltd and Wye Valley NHS Trust. Intranet services are shared with Hoople Ltd.

Q8. Which team and/or individual(s) are responsible for managing your intranet internally?

Functionality is managed by the Web Team and Content is managed by Business areas.

Q9. Are you using the Office 365 suite? If so, which applications from the suite are in use?

Yes - E1 Licensing Level

Q10. Which team and/or individual(s) are responsible for your intranet's procurement within the organisation?

Multiple teams are part of the decision making process - Procurement, Web team, Solution Architects, Infrastructure, Herefordshire Council Communications and HR.

Q11. Is your Active Directory hosted on-premise, or in the cloud?

On premise.

Q12. Could you provide us with a link to your Digital Workplace Strategy?

The Service Area have advised that we do not currently have a digital workplace strategy. Our digital strategy is currently being updated to incorporate workplace elements.

Q13. What software are you currently using for your website?

Jadu.

Q14. What team/individual is responsible for maintaining your website?

Functionality is maintained by the Web team \ JADU, and Content is maintained by the Web team, Communications Team and Content owners within the business.

Q15. Do you work with an external supplier to maintain your website, if so when does your contract expire?

Yes, the contract expires September 2022.

Q16. When did you last conduct an accessibility audit against your public website?

In April 2020 as part of a rebuild.

Q17. What team/individual is responsible for digital accessibility across your public facing services?

The role responsible is within Herefordshire council - Digital Engagement Manager.

Q18. What is your budget for digital accessibility?

There is no allocated budget for digital accessibility.

Q19. What is your annual marketing/communications budget for creating content for residents?

There is currently no corporate budget for web content production.

Q20. Do you work with external marketing/communications suppliers to create content for your public facing services?

The Corporate Communications Team does not currently use external suppliers to create website content.

Q21. When was the last time you conducted a content audit on your website to remove outdated content?

It is ongoing as Business As Usual (BAU) - content is always changed, therefore it is ongoing. Policies and processes are in place to ensure that content is relevant, timely and accurate.
