2) Please state the current total number of staff who have not attended the office for the following periods:

a) 6 months or more

b) 12 months or more

c) 24 months or more

3) Please state the number of formal disciplinary actions issued to staff members found not to have met required attendance levels (or where this is the primary reason) in the following financial years.

a) 23/23

b) 24/25

c) 25/26

4) Please state the number of staff who have been dismissed for not meeting required attendance levels (or where this is the primary reason) in the following financial years.

a) 23/24

b) 24/25

c) 25/26

Please limit your search for information to that which is centrally held and can be extracted from your recording systems.

If a question would require manual interrogation of individual files that would take the request as a whole over the cost limit, please disregard this question and provide a substantive response to the remainder of the request.

CLARIFICATION

On 1c, please disregard this question.

For 3 and 4, please can you provide figures for both, with a breakdown if possible?

CLARIFICATION:

Thanks for coming back to me.

This would be for physical attendance in the office, but if you could provide a breakdown of discipline for attendance by type for reference I would be grateful.

Answer: The information for questions 1a-1b and 2a-2c is not held in a form that would enable it to be located, retrieved and extracted within the Appropriate Time Limit which equates to 18 hours as defined by the Freedom of Information and Data Protection (Appropriate Limits and Fees) Regulations 2004.

The council does not hold this information centrally. All staff have the option to work from home, and adjustments are agreed and recorded locally by line managers and services. This would mean contacting each service line manager and/or manager and they would have to manually check all of their staff records. Once the details have been identified they would need to be noted and once all records had been checked, the total figures requested could be calculated, which would exceed the Appropriate Time Limit.

Where the Limit is exceeded Public Authorities are not obliged to supply the information requested by virtue of S12 of the Act. Please take this letter as a refusal notice under S17 of the Act.

However, within the 18 hour limit, we can provide answers for questions 3 and 4 as requested.

As you have advised in your request “If a question would require manual interrogation of individual files that would take the request as a whole over the cost limit, please disregard this question and provide a substantive response to the remainder of the request”, please see the responses for questions 3 and 4 below:
