I am writing to request information under the Freedom of Information Act 2000 regarding the asset and fault management systems currently used within your organisation. The purpose of this request is to better understand the landscape of such systems across government agencies and to explore whether there is potential for efficiency gains and cost savings through system consolidation.

I would be grateful if you could provide the following information:

1) The number of distinct Asset and/or Fault Management Systems currently in use within your organisation? For each identified system, please provide:

a. The name of the supplier or vendor.

b. The functional scope of the system (e.g., facilities, IT assets, infrastructure, etc.).

c. Any features considered to be specialist or specific to the agency’s use case.

d. The approximate number of users.

e. The total contract value (including any extensions or renewals, if applicable).

f. The duration of the contract (initial term and any extension periods).

g. The start and end dates of the contract.

2) Is your organisation actively exploring or open to the idea of consolidating multiple systems into a single platform to achieve cost savings or operational efficiencies?

3) Please provide the contact details (name, role, and email address) of the person best placed to discuss system rationalisation and future procurement opportunities.

I am writing to request information under the Freedom of Information Act 2000 regarding the asset and fault management systems currently used within your organisation. The purpose of this request is to better understand the landscape of such systems across government agencies and to explore whether there is potential for efficiency gains and cost savings through system consolidation.

I would be grateful if you could provide the following information:

1) The number of distinct Asset and/or Fault Management Systems currently in use within your organisation? For each identified system, please provide:

Answer: The Service Area have advised Herefordshire Council’s IT assets are managed by Hoople Ltd, a Teckal company, using systems under their operational control. With regard to fault management, this term can vary significantly depending on the nature of the service or contract. Each contract typically includes its own mechanism for managing faults or issues. If the request relates specifically to IT fault management, this is also handled by Hoople Ltd. 2) Is your organisation actively exploring or open to the idea of consolidating multiple systems into a single platform to achieve cost savings or operational efficiencies?

Answer: The Service Area have advised the organisation routinely reviews its systems and services to identify opportunities for improved efficiency and value for money. Where appropriate, and particularly when contracts are due for renewal, the potential for system consolidation is considered in line with operational requirements and strategic objectives.

3) Please provide the contact details (name, role, and email address) of the person best placed to discuss system rationalisation and future procurement opportunities.

Answer: There is no single designated contact for system rationalisation and procurement opportunities. Responsibility for these areas is determined by the nature and scope of the specific procurement activity. Enquiries may be directed to the organisation’s general procurement contact point, ictprocurement@hoopleltd.co.uk, where they will be referred to the appropriate individual or team.
